Information Management Systems (IMS), Enterprise Resource Planning
(ERP) & Computerised Maintenance Management Systems (CMMS) A large
part of the beginning for MPR Services was our ability to provide data
development and support to clients that used SAP as their preferred
IMS/ERP.
We have continued to provide our SAP clients with the best possible
support and service we can offer and along the way we have also become
capable of providing the same style of support and service to clients
that utilise other IMS packages such as Ellipse, Mainpac, Pronto & Mex
and are currently looking to increase our capabilities in supporting JD
Edwards, FMMS & Maximo. Ellipse is the latest fully-integrated
enterprise resource planning solution (purpose built for asset intensive
companies) from Mincom and as with SAP their product is utilised and well
supported world wide. Ellipse is broken up into 4 modules (information
streams) such as "Assets & Works", "Supply & Logistics", "Financial" and
"Human Resources".
SAP Consultation and Implementation
SAP was started in 1972 by five former IBM employees. Based in Mannheim, Germany. SAP is now the world's largest inter-enterprise software company.
SAP's concept was to provide users with the ability to interact through a common database for a comprehensive range of applications. SAP applications provide the capability to manage financial, asset and cost accounting, production operations and materials, personnel, plant, and archived documents. The latest version of R/3 includes a comprehensive Internet-enabled package.
SAP is broken up into several modules such as: PM - Plant
Maintenance, MM - Materials Management, PP - Production
Planning, PS - Project Planning, FI - Financial & CO
- Cost Accounting (to name a few). To-date at MPRS we have
deliberately concentrated our efforts in providing expertise to our
clients in the PM & MM modules, both these modules are
immensely large and together can (if built correctly) provide a great
foundation for the remainder of the system to be developed on. Our extensive
and diverse experience in the overall use of SAP (dating back to r2 v5)
is via a variety of roles such as Maintenance & Shutdown Planners/Superintendents
- Supply, Purchasing & Warehousing Officers/Superintendents - Engineers and
Tradespersons. This gives MPRS the ability to assist clients with a
large range issues, problems and enhancement activities. We enjoy
being able to assist our clients achieve their immediate objectives and to provide knowledge about SAP functionality that clients may not be aware of.
Assistance in the population of Master Data
The first step to the creation of accurate "Master Data" is site verification/field
survey of all equipment.
We provide skilled staff to carry out the site verification process and
in doing so, every piece of equipment is physically identified.
SAP's Equipment Master Files can store in excess of 100 columns of
information, generally as a minimum requirement equipment is identified by: Model Number, Serial Number,
Arrangement, Configuration, Size, Weight (If known), Client Tag Number,
any associated pipelines & instrumentation, as well as any other specific information the client wishes to have recorded.
The data is then passed on to our Bill of Materials (BOM) planners who build a component breakdown of the
equipment/item including: Part Number, Model Number, quantity, unit of measure, Manufacturer, Vendor (if different), Vendor Model Number and any other client-specific data. Items are built into Maintenance Assemblies (as shown below) and the data is then loaded into SAP.
Functional Location structure analysis and builds
An accurate and thoughtfully structured Functional Location & Equipment
Hierarchy is imperative to the identification, recording and tracking of items within the
system.
An effective Hierarchy Structure can add value to a business by reducing
the time required to identify items of equipment requiring urgent
attention, particularly if prompt ordering and expediting of related
spares is required following a breakdown. Serialised items (PSVs etc) can be
more easily tracked and multiple application items can be identified and utilised
with greater ease (e.g. if you have a "xyz" motor in two locations with one site being critical, the motor in the non-critical site can be used in an emergency).
Maintenance Plans, Items and Task Lists
We have a substantial amount of personnel who have several years
experience working in Planning roles utilising the SAP system. A lot of
thought, discussion and analysis must go into setting up SAP's
reoccurring system generated preventative and proactive tasks and there
are certainly a multitude of options available. We spend a
lot of time creating, modifying and rationalising Maintenance Plans and
relating Maintenance Items and Tasks Lists (Functional Location,
Equipment & General). We have a lot of experience in creating this data
to a standard and in particular the written work instructions that can be
attached to the operations of Task Lists via MS Word documents.
D.I.M.E. Scripts for clean bulk data uploads
MPRS recommends D.I.M.E. Scripts for bulk data upload into SAP. D.I.M.E. (Data Input Made Easy) is a SAP add-on program written by PABNA Pty Ltd. D.I.M.E. uses the field verification used by SAP during Data input to ensure that no data enters the SAP tables without first meeting the criteria set for that field. Records that do not meet the criteria (e.g. text too long, GL Account doesn't exist etc) are not loaded and a log page can be viewed in SAP which informs the user why the record would not load. This ensures all data entered into SAP is accurate and relevant
SAP Inventory Catalogue creation and improvements
The Inventory Catalogue is pivot point for the rest of the system. It
must be accurate, meaningful clearly defined and done to a standard.
Descriptions are a key to the Catalogue being fully utilised in the day-to-day work environment.
Generally on the Catalogue builds we undertake, we use our MPRS Standard as a transition document and
then in negotiation with the client agree on a client standard that uses strict cataloguing rules but incorporates the clients needs and site specific terminology.
Analysis of the population of SAP tables
During implementation, important data may not be available at the time of initial upload.
It may not be until months down the track that the client discovers that
some of their key functionality is not working correctly as a result. MPRS can analyse the number of fields the client is using and
compare this to current best practices assist the client by populating unused fields with the appropriate data
and according to any standards that may be available.
ABAP programming
Ad-Hoc reports and transactions can be created using the native SAP language, ABAP. The client accesses the information via transactions from the front end of SAP. Data can be added to any records or reports based on specific client needs.
